Enhanced Export Filter with Questionnaire and Census Data

We have expanded the export filter functionality to include questionnaire columns and census data columns that are available on the Plan Admin page. Previously, when exporting filtered results, these important data points were not included in the export file. This enhancement ensures that TPAs can export comprehensive plan information in a single file, including all questionnaire responses and census data that they can view on the Plan Admin page. This means you can now generate complete data exports for reporting, analysis, or client communications without manually compiling information from multiple sources.

Bug Fixes:

Plan Admin Table Client Notes Overflow - Fixed an issue where the client notes column in the Plan Admin table had a fixed minimum width that caused horizontal overflow, pushing other columns off the page and making the table difficult to use.

Payroll Parser Census Import - Resolved an issue where the payroll parser failed to import some census files, causing cells that were visible during the preview step to disappear when attempting to complete the import.

Dashboard Settings Access - Fixed an inconsistency where dashboard settings and widget editing options were not available after saving and returning to a dashboard, preventing users from making necessary adjustments to their custom dashboards.

Client Task Completion Notifications - Resolved an issue where notifications were not being sent when clients completed tasks. We have also added the ability to configure which internal roles receive these notifications in Settings > Advanced, ensuring the right team members are informed when client tasks are completed.

Census Completion Step Validation - Fixed a validation issue that allowed clients to submit the census completion step without actually providing census data or establishing a payroll connection, which could lead to incomplete data collection.

Duplicate Task Creation - Resolved an issue where tasks were being duplicated multiple times for a single project launch, causing confusion and unnecessary work for TPAs managing client projects.

Client Portal Login Link in Email - Fixed a malformed URL issue in the Pending Task email notification that prevented the login button from working correctly, ensuring clients can reliably access their tasks through email notifications.

Employee Census Information Overrides - Fixed an issue where manual overrides for employee census information (such as Hours Worked and Gross Compensation) were not persisting and would revert to payroll-provided values, preventing TPAs from making necessary corrections to employee data.

We have added a confirmation modal that appears when accessing the client portal through delegated access, clearly explaining the implications of this action. Add Help Text to Bulk Task Deletion Modal

We have added informational text to the bulk task deletion modal that warns you when automations set up to run after deleted tasks will not automatically trigger. This helps you understand the full impact of bulk deletions and prevents unintended workflow interruptions, allowing you to make informed decisions about task management.

Request Live Client Portal Screen View

We have implemented a live screen sharing feature that allows you to request and view a client's screen in real-time when they are active in the client portal. This enables you to provide immediate assistance and guidance to clients, improving your ability to troubleshoot issues and support client interactions without requiring separate screen sharing tools.

Check Email Connectivity and Roles Assignments Before Launching Projects

We have added a connectivity check that alerts you when your email inbox is disconnected or specific roles are not assigned, before launching projects with email automations. The system now shows you which clients and plans will be affected and gives you options to connect your email and confirm role assignments before launching the project.

Bulk Provisions Upload

We have implemented the foundation for bulk provisions upload functionality with a new modal interface and step indicator. This initial release provides the user interface structure for uploading provisions files in bulk, setting the stage for more efficient provisions management that will reduce the time spent on individual plan setup.

Negative Numbers on Plan Admin Dashboard - We resolved an issue where negative numbers were incorrectly displaying on the plan admin dashboard instead of accurate plan counts.

Pay Change Report Generation - Resolved an issue where the pay period change analysis report automation was failing, preventing reports from being saved to client directories automatically.

Removing Inactive Tag on Project Templates - Fixed an issue where the "Inactive" tag could not be removed from project templates, allowing you to manage template tags as needed.

Unable to Send Email Review Documents Request Through Automation - Fixed an error that was preventing internal email communications from being sent when using the "assignee" as the sender address in email automations.

Plan Admin Status Recalculation Errors - Fixed an issue where questionnaire and census data indicators temporarily disappeared from the plan admin table during status recalculation, ensuring status information remains visible throughout the process.

Plan Admin Page Updates - Fixed filter inconsistencies, added sort options to table columns, added Company Tags filter option, and added a column to display company-level tags for better plan administration visibility.

Plan Admin Page Census and Questionnaire Columns - Fixed filter functionality issues, resolved negative number displays caused by duplicate database entries, added Questionnaire and Census Data status columns, and improved filtering to show MEPS/PEPs plan sponsors by default with optional joinder company inclusion.

Failed to Update Plan Issues - Resolved an issue where a "Failed to update plan" error message appeared when updating provisions, even though the updates were actually successful, and fixed an error that occurred when editing provisions directly after importing.

When Launching a Project, Ensure Client Roles are Assigned

We have implemented a role assignment check when launching projects that prompts you to assign any missing client roles before project launch. This ensures all required roles are properly configured upfront, preventing workflow interruptions and ensuring tasks are assigned to the correct team members from the start.

Option to Disable Census Option in Client Data Collection Task

We have added an option to disable census submission in client data collection tasks for TPAs that have already collected client census data prior to using CX. When selected, the census upload step is automatically completed in the client portal, allowing you to streamline the data collection process for clients who have already provided their census information.

Add Embed Codes to Pages

We have added the ability to include embed codes on pages, giving you more flexibility in customizing page content and integrating external resources. This enhancement allows you to embed third-party content directly into your pages as needed.

Update Payroll Mapping Task

We have consolidated and improved the payroll mapping task to ensure only one task is created when payroll data requires mapping, with clearer descriptions of the mapping process. This reduces task clutter and provides better clarity on what actions are needed when new payroll data arrives.

Update Send Email Automation to Allow Individual Emails

We have added an option to send separate emails to each recipient listed in the To field, with CC'd recipients attached only to the first email. This allows you to send personalized communications to multiple recipients while maintaining appropriate CC handling.

Settings > Advanced: Roles to Show in Client Portal

We have added configuration options to control which internal roles are displayed in the client portal, with options to show all roles, specific roles, or exclude certain roles. This gives you granular control over client portal visibility, allowing you to customize the client experience based on your workflow needs.

Client Portal Showing Incorrect Plan Year - Updated the plan year logic to correctly display the last completed plan year in the client portal, ensuring accurate year information is shown to clients.

Setting SSN on the Participants Page - Fixed an issue where SSN updates on the participants page were not saving correctly, ensuring participant information can be updated as needed.

Participant Export File - Fixed an issue where participant exports were creating corrupted Excel files by ensuring proper plan ID handling in participant activity exports.

Email Template Locking - Resolved an issue where email template edits were not being saved after unlocking templates, ensuring your template customizations persist correctly.

Payroll Export Corrections - Corrected an issue where exported census files were showing duplicated compensation amounts in the gross minus exclusions column.

With the new year, we’re ringing in some large improvements to the CX platform that will help your team this census season.

Features and Improvements:

Plan Admin Dashboard

We’ve added a new Plan-Year Admin Status that provides a clear, consistent view of where each plan year stands in the annual administration lifecycle. This status is automatically calculated from key upstream signals, supports manual overrides with full history, and keeps parallel work like Notices, SARs, and RMDs tracked independently. The result is improved visibility, more reliable reporting, and a stronger foundation for automation, dashboards, and SLAs—helping TPAs manage plan years with greater confidence and efficiency.

Email Locking

We have added a new feature to lock and unlock email templates to prevent edits when being utilized by projects and automations. This helps ensure the correct verbiage is sent at the right time.

IRS Compensation Guidelines

We have updated our scrub check system to account for the new IRS contribution limit guidelines for 2025.

Export Retirement Plan Report Update

We have added configuration options for excluding/including participants with 0 compensation.

Bug Fixes:

  1. Questionnaire Field Default - We resolved a bug where switching question defaults for a questionnaire would cause the form to break.

  2. View Deletion Issues - We have resolved issues when deleting custom data views and have additionally updated the confirmation message to better reflect updates.

  3. View Cloning - We have resolved issues with cloning templates where views would be created with incorrect resource types.

  4. Early Retirement Age - We have resolved an issue where early retirement age provisions calculate incorrectly.

  5. Export Filter Results - We have resolved an issue where filter results on the plan admin dashboard could not be exported.

  6. Client Invite Deduplication - We have resolved an issue where email invitations would send multiple times to plan sponsor contacts.

  7. Custom Views Overflow - We have resolved an issue where adding additional fields to a view would flow out of the view port.

  8. Payroll Connection Page - We have resolved an issue where certain payroll connection tasks would get stuck in the connection flow.

  9. Contact Visibility Issues - We have resolved an issue where certain visibility standards were not being applied correctly to certain plan contacts.

  10. Project Plan Selection - We have made an update to ensure only plans associated to the plan sponsor company can be selected on a project record.

CX Platform

We have released a variety of bug fixes and improvements to the CX platform.

Feature Improvements:

  1. Payroll Location Mapping: TPAs can now create and manage individual locations for plan sponsors. These locations can also be mapped directly to specific payroll connections - broadening support for multi-location payroll across supported providers.

  2. Updated Payroll Statuses: We have added new payroll statuses to better showcase payroll connection types and when action is required by the plan sponsor. When a connection needs to be re-authenticated or is assisted, we have also updated the verbiage in the client portal to show this to the plan sponsor. Learn more here.

  3. We have added alerts for when company information, contact details, or ownership information change. These alerts will appear in the notification center inside CX.

Bug Fixes:

  1. We have resolved issues with overtime pay exports. Payroll exports now show correct column amounts across categories.

  2. We have resolved issues when adding contacts where the page would not become scrollable, making it difficult to view and manage contacts. The page now shows the entire create contact card.

  3. We have resolved issues where emails would fail to sync correctly and would get stuck into a “syncing” state. Emails should now sync as expected.

We’ve released several improvements across the Stax.ai platform to make your experience smoother, faster, and more reliable. Here’s what’s new:

Better Reliability When Connecting Payroll Providers

We fixed an issue where payroll connections could sometimes appear duplicated or fail to show as "pending" correctly.
You’ll now see accurate connection statuses when linking payroll providers, preventing confusion and ensuring onboarding goes more smoothly.

More Accurate Payroll Sync Status

Our payroll sync service now correctly identifies when a client has no payroll field mappings set up.
Previously, the system might have marked a sync as “complete” even when required setup wasn’t finished—this has now been corrected so you always see the true status.

Faster & Smarter File Saving in Automations

When automations save files to client or shared folders, they now use an optimized method to determine where the file should go.
This means:

  • faster automation runs

  • fewer errors

  • more accurate folder paths

Your files will consistently end up in the correct location.

Form Submissions No Longer Clear Existing Project Data

When a form is submitted, any existing project, client, or plan data will now be preserved.
Previously, submitting a new form might accidentally wipe out stored information — now, new data is safely added without removing what was already there.

This ensures your project data remains complete, consistent, and reliable over time.

More Control Over Client Portal Permissions

We’ve added a powerful enhancement to the “Invite Client to Portal” automation.
You can now configure exactly which permissions a newly invited client should have, including:

  • Manage or delete other users

  • Access billing settings

  • View team communications

  • View & upload shared files

This provides far greater flexibility—especially for TPAs managing different sponsor groups with varying privacy needs.

We’ve released support for MEP & PEP Intelligence—a major upgrade purpose-built for TPAs managing Multi-Employer and Pooled Employer Plans.

With this, RPCs can finally treat a multi-adopter plan as a single, fluid system—without the chaos of stitching together spreadsheets, permissions, and portals.

Retirement consultants can configure adopting-employer rules, toggle between employer-specific and plan-wide views, and enforce granular access controls, all within one system. Every data change and approval is tracked in a unified audit log.

This release eliminates manual workarounds, reduces compliance risk, and brings clarity to complex plan structures. RPCs can now scale MEP and PEP administration with consistency, transparency, and control.

This release contained a variety of bug fixes, features, and performance improvements.

Bug Fixes:

  1. Side Bar Scroll Issues: The Email Disconnection is now at the bottom of the sidebar content instead of being in a fixed position and potentially overlapping the menu.

  2. Email Compose and Bulk Sending Issues: Loading an email template with variables no longer prepends a "=" at the beginning.

  3. Spaces in Emails: Users with leading or trailing spaces in the email field will no longer save with the spaces.

Improvements:

  1. Company Phone Number: Companies now have a phone field. Changes to this field will also now reflect in the activity log.
